These Terms of Service ("Terms") govern your access to and use of the Dev-Haus dental practice management platform and related services (the "Services"). By creating an account, subscribing, or using the Services, you agree to these Terms and our Privacy Policy. If you do not agree, do not use the Services.

Definitions

  • "Company" refers to Dev-Haus Limited
  • "Customer" refers to dental practices or individuals subscribing to the Services
  • "Patient Data" refers to any personal data processed through the platform
  • "User" refers to staff members authorized to access the platform

Eligibility & Registration

Eligibility

  • You must be at least 18 years old and legally able to enter into contracts.
  • You must be a licensed dental professional or authorized representative of a dental practice.

Account Registration

  • You must provide accurate, complete, and current information.
  • You are responsible for maintaining the confidentiality of your login credentials.
  • Any activity performed under your account is your responsibility.

Account Restrictions

  • We reserve the right to suspend or terminate accounts for violation of these Terms.
  • You may not share access credentials with unauthorized persons.

Services Description

The Services include the following modules:

Dev-Haus Tasks

  • Staff task assignments
  • Task categorization and monitoring
  • Performance tracking

Dev-Haus Docs

  • Secure storage of patient records and documents
  • Digital consent forms and treatment plans
  • Staff document management

Dev-Haus CRM

  • Patient communication tracking
  • Appointment scheduling and reminders
  • Automated lead nurturing

Dev-Haus Diary

  • Practice scheduling and appointments
  • Integration with clinical workflow

Service Modifications

  • We may update, change, or discontinue parts of the Services at any time.
  • We will notify you of material changes that affect your usage.

Subscription Plans, Pricing & Payment

Subscription Plans

  • Services are offered on a subscription basis (monthly or annual billing).
  • Pricing depends on practice size and selected features.

Fees and Charges

  • Fees are payable in advance and non-refundable except as outlined below.
  • Failure to pay may result in suspension of Services.

Payment Methods

  • We accept payments via credit/debit card and direct debit.
  • All payments are processed securely through Stripe.

Automatic Renewal

  • Subscriptions auto-renew unless canceled before the billing date.

Price Changes

  • We may change pricing with 30 days' notice.

Free Trial

  • Trials may be offered at our discretion.
  • Failure to cancel before the trial ends will convert into a paid subscription.

Refund Policy

  • 60-Day Money-Back Guarantee: If you are unsatisfied within 60 days, you may request a refund.
  • Annual Subscriptions: Refunds are prorated after the 60-day period.

Acceptable Use Policy

Permitted Use

  • Use the Services solely for managing dental practice operations.
  • Ensure patient data is entered lawfully and with consent.

Prohibited Activities

Legal Violations

  • Uploading unlawful or infringing content.
  • Violating GDPR or data protection laws.

Security Violations

  • Attempting to breach system security or access unauthorized data.
  • Introducing malware or malicious code.

Misuse of Services

  • Sending spam or unsolicited communications.
  • Using the Services for non-dental purposes.
  • Impersonating others or misrepresenting your affiliation.

Data Integrity Violations

  • Falsifying patient records or tampering with data.

Data Ownership, Privacy & Security

Customer Data Ownership

  • You retain full ownership of all patient and practice data.
  • We act solely as a data processor on your behalf.

Data Controller and Processor Relationship

  • The dental practice is the Data Controller.
  • Dev-Haus Limited is the Data Processor.
  • A Data Processing Agreement (DPA) is available upon request.

Your Responsibilities

  • Ensure patient data is collected lawfully.
  • Obtain necessary patient consents.
  • Maintain confidentiality of login credentials.

Data Security

  • We implement encryption at rest and in transit.
  • Regular security updates and system monitoring are applied.

Data Location

  • Primary storage is within the UK (AWS London).
  • Backups are stored in the EU (AWS Dublin).

Data Breach Notification

  • We will notify the Customer and ICO within 72 hours if required.

International Data Transfers

  • All data is stored in the UK/EU.
  • If international transfers occur, we use Standard Contractual Clauses (SCCs).

Children's Privacy

The Services are not intended for use by minors. Dental practices must obtain appropriate consent when processing patient data for minors.

Data Breach Notification

  • We will notify you within 72 hours of any confirmed breach.
  • We will assist with regulatory reporting requirements.

Changes to This Privacy Policy

We may update these Terms from time to time. Changes will be posted at dev-haus.com/terms. Continued use of the Services constitutes acceptance of updated Terms.
